Classify a document for your library
Categories, industries, and use cases that make a template findable.
Open this guide in the help center →
When to use this. Your template library has grown to the point where people rebuild documents rather than find them.
What you’ll need. A document worth reusing across your team.
Open the document's Settings tab
The classification fields sit alongside the other document settings.
Set a category
Categories are the main axis your team browses by. Agree a small set across the account before everyone invents their own.
Add industry and use case
Industries and use cases narrow it further, which matters once the library is large enough that browsing beats scrolling.
Write a description
The description is what someone reads when deciding whether this is the right template. Say what the document is for and when to use it, not what it is called.
Set the status
The status marks whether the document is active and available for use. Retire an old version rather than deleting it, so existing references still resolve.
Check it can be found
Have a colleague look for it without being told the name. If they cannot find it, the classification is wrong, not the colleague.
How to know it worked
A colleague can find the right template by browsing, without knowing its exact name.
