Notifications and auto-responses for one form

Alert your team on each submission, and confirm receipt to the respondent.

When to use this. Your team needs to know about a new enquiry, and the customer needs to know you received it.

What you’ll need. A form that is collecting responses, and a working sending address for the account.

  1. Open the form's Email settings

    In the form builder settings rail, choose Email. These settings belong to this form, unlike the account-wide templates in Account Management.

  2. Set up the internal notification

    Enable the new submission email and set who receives it, with CC and BCC if more than one team needs it. Put something identifying in the subject — a mailbox full of identically titled alerts is unusable.

  3. Set up the auto-response

    Enable the auto-response so the person who submitted gets a confirmation. Set the from name and address they will see, and write a body that tells them what happens next and by when.

  4. Insert the values you need

    Both messages can include tags that insert values from the submission, such as the submission reference. Load the default template first if you want a working starting point.

  5. Attach the PDF if it helps

    You can attach a PDF of the submitted data. Do this for a record the customer should keep — and if the form holds personal data, protect that PDF with a password first.

  6. Send yourself a real one

    Submit the form and read both messages. Check the from address, the subject, and whether the links work on a phone.

How to know it worked

A test submission produces an internal alert and a branded confirmation to the respondent.
